Minutes of Magrath and District Chamber of Commerce Society on Wed 2 Apr 2014 7pm at the Magrath Museum
- Thank you to Museum Board for letting us meet in their facility.
- Attending: President Duane Thomson, Vice President Arlen Bennett, Past President Jay Mackenzie, Secretary Roger Davies, Treasurer Julia Moore, Ross Moore, Richard Spencer, Carma Thomson, Allan Dudley and Bruce Cant (new member).
- Minutes of last meeting read and accepted. OK
- Items arising from minutes discussed.
- welcome to J Moore attending for first time as our new Chamber Treasurer 2014
- check to town for $12,000 approved but not yet picked up
- email re rural entrepreneur seminar tabled to future meeting (DT)
- tables we ordered have arrived and are available at ice arena (now have 50 there) - Discussed transition of financial records to new treasurer. Shannon Sabey donated the manpower to convert to Quickbooks, latest version. Discussed options and decided that in order for us to use that data we will upgrade to latest version of Quickbooks as well. Moved to pay for upgrade . OK
- Carma Thomson also representing the Town of Magrath Rec Board presented information on Mormon Trail signage plans. Alternative locations discussed. Group consensus is that the location south of Magrath at head of trail system makes the most sense. We also need updated highway signs at north entrance into Magrath (turn here for ..). Carma will pass our ideas on to the Rec Board.
- Brief reports from those who attended the Canadian Badlands conference last week. They held a debrief meeting earlier in the week as well (on Mon 3:30pm at Town Hall). Attendee's report being impressed by the scope and focus of the conference. There will be lots of work to do to decide how we can fit into this effort. The Mormon Trail movement is just a part of the Canadian Badlands and Alberta Tourism efforts. Resources will be available for marketing, planning, and grants for certain projects may be available. Discussed a need for a Community Development board but were divided on how that could/should be set up. RD proposed a 'society of local societies board, to which each of the many groups in town could send representatives and coordinate efforts to improve the town. Other options discussed, and in the end we proposed that we approach the Town of Magrath to co-sponsor such a board. Moved and accepted.
- Jay moved that we move ahead to prepare a tourism 'Mormon Trail' brochure for Magrath and area, with maps, local advertisements and places of interest. He has a sample of one done for Picture Butte as a sample. Group liked this idea. Moved to table to future meeting. OK
- Carma noted that plans for a new Farmers Market in Magrath on Tue from 4-7pm from Jun through Sep each year in the Ice Arena are proceeding.
- It was suggested we consider ways to incorporate the 'Mormon Trail' title into the names of future Chamber events. For future consideration. OK
- Discussed upcoming plans for Chamber Tradeshow (Sat 12 Apr).
- Flyers will be prepared by end of this week (RM).
- Sign is now up at north entrance to Magrath.
- Stage will be moved into arena on Sat 5 Apr after high school play run ends (AB/RD)
- Lions Club will pay for and man the Bouncer that has been ordered with proceeds to Lions projects. Discussed set up location at north center of arena
- Entertainment is looking good and program will be prepared for day of event: current plans include Deep South Cloggers, Trevor Panczak, Bells and Bows fashion show (incl Miss Teen Alberta and Miss Teen Lethbridge), performances by Extreme Talent dance groups, and Clayton Gast
- Layout on Thu 10 Apr (RM, BC and others will help)
- Vendor setup on Fri 11 Apr 2-8pm. discussed shifts required 2-4, 4-6, and 6-8 to supervise building.
- Vendor setup on Sat 12 Apr 8-10am also discussed.
- We will need help during event manning the Chamber table. Discussed how to set up shifts.
- RD reports 35 bookings so far. We need to cut off on Thu 10 Apr prior to layout of arena
All in all it looks like it will be fun event (despite overlapping the High School Band Trip) - Richard raised item on need for protocols for information published on our web pages including facebook and twitter. When posting as 'Magrath Chamber' it needs executive approval before public posting. Minutes and event announcements can be posted per existing protocols. Items for posting on Chamber pages will be accepted from Chamber members and public, but needs executive pre approval prior to posting. Discussed need for a new Chamber bylaw for same. Not considered necessary at this time. Reviewed last months incident, how it happened and how it was subsequently handled and apologized for. Most felt the matter can now be considered closed.
- Next meeting set for Thu 1 May 2014, 7pm, at Magrath Museum
